Applicant to the fellowship programme
By applying to the fellowship programme, we collect all the data listed in the previous section as well as the following:
- Name/First Name
- Gender
- Nationality
- Date of birth
- Place of birth
- Phone number
- Postal address

- ORCID
- PhD (date, university, supervisor)
- Information about the fellowship you are seeking (university, scientific/research fields, ...)
- Scientific/research experience
- CV
- List of publications
- Research papers you contributed on
- Letter of recommendation
- Video presentation of yourself, if you wish to
- Contact details of two referees
Fellow
Should your fellowship be accepted we will additionally collect the following data:
- Banking information
- Contact details of your scientific coordinator
- Period of your fellowship and duration
- Passport
- Visa
- PhD diploma proof
- Contracts
- Resignation letter
- Campus France reference
- Certificate of completion
- Scientific and administrative reports
Evaluator
As an evaluator from one of the participating institutes, we collect the following data:
- Name/First Name
- Email address
- Consortium/institute
- Gender
- Nationality
Additionally, you may provide more information in your profile:
- Date of birth
- Place of birth
- Phone number
- Postal address
- Photo
- ORCID
How do we collect your data?
You directly provide ERCIM with most of the data we collect. We collect data and process data when you:
- Use or view our website via your browser’s cookies.
- Register online to be informed of upcoming calls or to have access to the application form.
- Voluntarily apply for a fellowship.
- Are granted a fellowship in one of our partner research institutes.
- Register online as an evaluator.
How will we use your data?
ERCIM collects your data so that we can:
- Email you with information about upcoming fellowship opportunities.
- Manage your application for a fellowship.
- Manage your fellowship.
Access to personal data is strictly limited to ERCIM employees, authorized to process them by virtue of their duties, or communicated to third parties linked to the company by contract for the performance of tasks necessary for the management of your application. These third parties have only limited access to the data and are obliged to use them in accordance with the provisions of the legislation in force. The recipients of the data are, to date, entirely located within the European Union and EEE.
What are your data protection rights?
You have the right to access, rectify, port and erase your data, as well as limit processing. You can also, for legitimate reasons, oppose the processing of data concerning you.

How long do we keep personal data
If you only have created an account but have not activated it, we will keep the request for 24h. After this deadline, your pending user account will be deleted.
If you only have created an account but haven't applied for a fellowship, your account gets deleted after three years from the date of creation of your user account.
If you have applied for a fellowship, your applications and account will be deleted three years after the deadline of the last call you applied to, except if you are granted a fellowship.
If you are granted a fellowship, your account is anonymized five years after the end of your fellowship. All personal data are deleted and your account is disabled, so that we can still use non-personal information for statistical purposes.
If you are an evaluator, your account is anonymized three years after the deadline of the last call for which you submitted an evaluation. All personal data are deleted and your account is disabled, so that we can still use non-personal information for statistical purposes.
